Captura Workflow Permissions
One Source of Truth for Access, Control, and Confidence
This Permissions Matrix is the single source of truth for understanding user access inside Captura Workflow, the heart of the Captura connected ecosystem.
It’s designed to help studio owners, admins, and operators clearly understand:
What each role can see
What they can create or change
What actions require full administrative control
Use this matrix as a training reference, onboarding tool, and troubleshooting guide.
How to Read This Matrix
Permission Levels
View → Can see data or tabs, but cannot make changes
Add / Edit → Standard operator access; can create records, update data, and move work forward
Delete / Full Access → Administrative control; can remove records or change system-wide settings
Why this matters
Clear permission boundaries protect data integrity, reduce mistakes, and keep teams moving without constant admin intervention.

Understanding Permission Dependencies
Foundation Rule
To access Subject Data or Images, a user must have at least View access to Jobs.
Why this matters
Jobs are the backbone of Workflow. Without job visibility, downstream data can’t be safely accessed.
Recommended Permission Standards
Operator Standard
Add / Edit: Jobs, Subject Data, Images
View: Orders, Exports
This ensures operators can complete daily work without elevated risk.
Lead / Manager Standard
All Operator permissions
Add / Edit: Marketing campaigns
Add / Edit: Release orders
This supports decision-making without full admin exposure.
Admin Standard
Add / Edit: Account Preferences
Add / Edit: User Management
Full Access where system-wide changes are required
Why this matters
Aligning permissions to responsibility prevents both bottlenecks and costly mistakes.
Operator Troubleshooting Guide
“The tab is missing.”
→ Your permission level is set to None.
“I can see it but can’t click it.”
→ Your permission is set to View only.
“I can’t delete a mistake.”
→ You have Add / Edit access, but not Delete access. Contact your Workflow Admin.
Final Guidance
Permissions are not about restriction—they’re about clarity and trust.
When roles are clearly defined:
Operators move faster
Admins spend less time fixing errors
Studios protect data, revenue, and reputation
Set permissions intentionally, revisit them as teams grow, and use this matrix as your shared reference point.
That’s how Workflow stays efficient, secure, and scalable—together.
